This notice explains how Kaizen Torch LLC (“we”, “us”) handles personal information you submit through forms on our WordPress website at https://kaizentorch.com.

What we collect
1. Award entry (https://kaizentorch.com/mca-entry-kit/)
Name, email, phone, country of residence, credential status, experience, business or coach name, award categories you select, written answers about your coaching work and client impact (including self-assessment percentage fields on the form), optional links to supporting materials, and social profile URLs you choose to share.
2. Jury registration (https://kaizentorch.com/judge-register/)
Name, title or position, experience, profession, company, email, phone, country of residence, nationality, optional awards history, bio, preferred judging categories, optional profile image or profile URL, social profile URLs, and your choice about being tagged in Kaizen Torch marketing or promotional content.
3. Sponsorship interest (https://kaizentorch.com/sponsorship/)
Name, company, location, email, phone, optional website, sponsorship interest level, and optional comments.
4. Community signup
Name, email, country of residence, and a CAPTCHA check. This form can appear on several pages of the site.
5. Shop / cart / account
If you use shop, cart, or account pages on this site, we may hold account login details. Online card payment is not enabled on this site today. If that changes, we will update this notice before card payments are used.
How we use it
We use this information to:
- Run the awards programme, including reviewing and administering entries
- Review and administer jury applications (including optional website profile use after approval, and travel or visa planning where nationality is provided)
- Respond to sponsorship interest
- Record community signup requests and contact you where appropriate
- Honour jury social-tagging preferences
- Reduce automated spam on the community form (Google reCAPTCHA)
Judging materials
For award entries, Kaizen Torch manually selects and uploads the materials that judges receive. Judges do not receive the original Gravity Forms export. Coach self-assessment percentages are not included in judging packs and do not affect judging scores.
Where information is held
Submissions are stored in our WordPress website (hosted on Elementor Cloud), with Cloudflare used for content delivery. Jury profile pictures you upload are stored in the site’s media library. Admin staff may also receive email copies of submissions at hello@kaizentorch.com. Entry and jury applicants typically also receive an email confirmation at the address they provide. The community form uses Google reCAPTCHA to help block bots.
Who can access it
Kaizen Torch team members and technical administrators who need access to run the programme and maintain the website.
How long we keep it
We retain entry, jury application, sponsorship and community signup records on an ongoing basis to administer the programme and maintain our records. We do not apply an automatic deletion schedule. Kaizen Torch LLC’s management decides when records are archived or deleted.

Jury tagging consent
The jury form’s social media tagging choice only covers whether you agree to be tagged in Kaizen Torch marketing or promotional content. It is not a substitute for this privacy notice.
